Unit Coordinator Supervisor Job – NY, East Setauket

The Unit Coordinator Supervisor provides leadership and oversight for unit coordinators serving all modalities within the organization. This role is responsible for implementing measurable outcomes, establishing and monitoring KPIs, optimizing workflows, and ensuring productivity standards are met, while maintaining high levels of patient satisfaction and customer service. The Supervisor consistently demonstrates and reinforces the organization’s core values and ensures compliance with operational, financial, and regulatory standards.

 

Essential Job Functions

Leadership & Supervision

  • Supervise, coach, and support Unit Coordinators across all assigned locations and modalities.
  • Implement performance expectations, productivity benchmarks, and accountability standards.
  • Monitor staff performance and provide feedback, corrective action, and performance improvement plans as needed.
  • Communicate operational issues, staffing concerns, and productivity trends to the Director of Operations.

Scheduling & Productivity Oversight

  • Coordinate and oversee department schedules for patients, staff, and physicians to maximize utilization.
  • Establish and monitor KPIs including (but not limited to):
    • Schedule utilization rates
    • No-show and cancellation rates
    • Time-to-schedule and time-to-service metrics
    • Daily, weekly, and monthly exam volumes
    • Accuracy of scheduling, registration, and billing processes
  • Monitor daily unit schedules and posted availability to ensure optimal coverage and efficiency.
  • Identify backlogs, bottlenecks, and scheduling conflicts; implement corrective actions.

Operational & Financial Accountability

  • Ensure accurate management of physician orders and appropriate studies are scheduled.
  • Oversee monitoring of cancellations and no-shows; implement strategies to reduce lost appointment time.
  • Ensure all superbills are completed accurately and timely for all locations.
  • Verify all scheduled tests have correct superbills, waivers, and documentation in the chart.
  • Review weekly and monthly productivity and volume reports; analyze trends and recommend process improvements.

Systems & Documentation

  • Ensure all reports are downloaded/scanned accurately into the EMR.
  • Open and update Cerner schedules based on staffing plans provided by the Unit Supervisor.
  • Communicate all schedule changes and corrections to staff and administration
  • Review and maintain unit schedules for accuracy across all locations, ensuring correct orders, testing times, and staffing alignment.

Patient & Customer Experience

  • Oversee front desk operations, including patient check-in, appointment status updates, exam completion, and copay collection.
  • Ensure staff consistently provide professional, courteous, and timely customer service to patients, providers, and internal stakeholders.
  • Address patient concerns or service issues escalated by staff.

Additional Responsibilities

  • Perform desk and operational duties as needed to support workflow continuity.
  • Carry out additional duties as assigned by the Director of Operations.
