Role Overview
As the Front Desk Supervisor, you are the heartbeat of our high-volume fertility clinic. This role is critical in ensuring a compassionate, efficient, and professional experience for patients navigating their fertility journey. You will lead a dedicated team of receptionists, overseeing all front-end administrative operations and ensuring the office runs seamlessly.
Core Responsibilities
Leadership & Team Management
- Supervise & Mentor: Lead the front desk team, providing daily guidance and ensuring all staff deliver exceptional patient service.
- Scheduling: Coordinate and manage front desk employee schedules to ensure adequate coverage during peak hours.
- Training: Onboard and train new hires on clinic protocols, EMR systems, and the nuances of fertility patient care.
- Process Improvement: Maintain a highly productive office environment by identifying and resolving workflow bottlenecks.
Patient Experience & Reception Oversight
- Patient Greeting: Ensure every patient is greeted warmly, creating a supportive environment for those in sensitive situations.
- High-Volume Communication: Oversee the management of multi-line phone systems and TEAM chats, ensuring calls and messages are answered promptly and directed appropriately.
- Appointment Management: Monitor patient appointments and proactively update EMR schedules to minimize wait times.
Administrative & Clinical Support
- Correspondence & Documentation: Manage incoming/outgoing faxes, sort and distribute mail, and maintain digital filing via the EMR.
- Operational Support: Monitor office supplies, prepare meeting materials/handouts, and maintain the cleanliness and organization of the office.
- Administrative Tasks: Assist management with calendar keeping, meeting coordination, and various day-to-day operations.
