Job Summary:

The Practice Administrator is the onsite manager responsible for the day-to-day operations of the offsite. The practice Administrator reports to the Director of Operations.

Essential Job Functions:

  • Train staff
  • Establish and maintain the appropriate staff morale
  • Obtain and maintain the highest level of patient satisfaction (phones, reception, waiting time, staff interactions and follow-up)
  • Conduct periodic performance reviews
  • Ensure each physician has the required support staff
  • Prepare for and facilitate weekly meetings with the front desk supervisor and the billing dept.
  • Maintenance of personnel records
  • Ensure approved policies are implemented
  • Production of reports and monitoring trends in the accounts receivable of the practice
  • Production and maintenance of physician productivity reports
  • Supervise the production of new patient and referral source reports
  • Supervise patient flow
  • Insurance filing supervision and assistance
  • Collections efforts supervision
  • Supervise and assist with billing routines
  • Inventory management
  • Facilities management
  • Marketing recommendations and implementation
  • Liaison with physician advisors
  • Implement new projects approved by the physicians
  • Propose office policies for approval by the Physicians
  • Maintenance of the practice office procedures, personnel, HIPAA & Compliance manuals
  • Fill in for any employee position when required
  • Oversee the handling of mail.
  • Verify patient's health insurance coverage prior to appointment
  • Obtain necessary pre-authorization numbers as needed from insurance and HMO carrier
  • Assist Physicians as required
